Why Access to Club Photos and Videos Is Limited to Members

As a youth football club working exclusively with players under the age of 18, we take our responsibilities seriously — not just on the pitch, but online as well. One of the most important decisions we have made is to restrict access to our Club Photos and Club Videos areas to registered members only.

This is not about secrecy or restriction for the sake of it. It is about safeguarding, privacy, and doing the right thing for the children and families who place their trust in us.


Children’s Welfare Is Our Priority

Every photograph and video shared by the club features young players. These moments capture effort, enjoyment, teamwork, and development — all positive experiences that deserve to be remembered. However, they also involve children who have a right to privacy and protection.

By limiting access to members, we ensure that these images and videos are viewed only by people who are genuinely connected to the club, such as parents, guardians, players, and authorised staff. This significantly reduces the risk of content being accessed, copied, or shared by individuals with no legitimate reason to view it.

When working with under-18s, safeguarding must always come before convenience.


The Importance of a Controlled Online Environment

The internet is not always a safe place, especially for children. Once images are made publicly available, control is lost. Content can be downloaded, shared elsewhere, or taken out of context, often without the club or parents ever knowing.

A members-only area provides a controlled environment where access is monitored and purposeful. It allows us to share content in a way that celebrates our players while maintaining appropriate boundaries. This approach reflects modern safeguarding standards and helps us manage digital risk responsibly.


Respecting Families and Their Privacy

Parents and guardians trust us with more than football coaching. They trust us with their children’s wellbeing, their time, and their personal data. Restricting access to photos and videos is one way we demonstrate that we respect this trust.

Families can feel reassured knowing that:

  • Images of their children are not openly available online

  • Access is limited to a known community

  • The club takes privacy seriously

This reassurance is especially important in an age where digital content can spread far beyond its original audience.


Celebrating Progress Without Public Exposure

Photos and videos play a valuable role within the club. They allow families to see progress, players to feel proud of their achievements, and teams to look back on special moments together. None of this requires public access.

Our members’ area allows us to share:

  • Matchday moments

  • Training highlights

  • Team photos

  • Club activities

All within a secure space designed specifically for our community.


Accountability Matters

Membership also brings accountability. Everyone who accesses these areas does so through a registered account, which means access is not anonymous. This allows us to maintain clear expectations around behaviour, usage, and respect for the content shared.

If concerns arise, access can be reviewed or removed where necessary. This level of oversight simply isn’t possible with open galleries or unrestricted platforms.


Supporting a Safe and Respectful Club Culture

Restricting access helps reinforce the values we expect across the club. It sends a clear message that:

  • Children’s welfare comes first

  • The club is a community, not a public showcase

  • Respect extends beyond the pitch

This contributes to a culture where players feel safe, supported, and protected — both physically and digitally.


Meeting Modern Safeguarding Expectations

Youth football today requires more than coaching ability. Clubs are expected to demonstrate strong safeguarding practices, data awareness, and responsible online management.

By placing photos and videos behind membership access, we show that we:

  • Understand the risks of digital exposure

  • Take proactive steps to reduce those risks

  • Put children’s interests above visibility or promotion

This is part of running a club that families can trust.

Being a member is not just about unlocking features on a website. It reflects involvement, responsibility, and shared values. Access to photos and videos is one of the benefits of being part of the club community — a space built around safeguarding and mutual respect.
