1. Introduction
Welcome to the official website of Baltic Youth Football Club (“the Club”). By accessing or using our website, registering a player, or participating in any Club programme, you agree to be bound by these Terms & Conditions, along with all referenced Club policies and agreements.
If you do not agree with these Terms, please refrain from using the website or registering for Club activities.
2. Definitions

“Club”, “we”, “us”, “our” refers to Baltic Youth Football Club.

“You”, “your” refers to any website visitor, user, parent, guardian, or registered player.

“Member” refers to any player registered to participate in Baltic Youth FC activities.

“Membership Agreement” refers to the rules, conduct, expectations and obligations required of all members and parents.

“Policies” refers collectively to the Membership Agreement, Refund & Cancellation Policy, Code of Conduct, Safeguarding Policy, Privacy Policy, Complaints Procedure, and relevant FA regulations.
These Policies are incorporated into these Terms by reference and form part of the legal agreement between you and the Club.
3. Website Use
You agree to use this website responsibly and lawfully. You must not:

Disrupt or interfere with site functionality

Upload or transmit harmful, defamatory, offensive, or unlawful content

Attempt to gain unauthorised access to systems or data
4. Membership Registration & Accounts

Registration for membership must be completed by a parent or guardian for any player under 18.

Information supplied upon registration must be accurate and kept up to date.

You are responsible for maintaining the confidentiality of login details for any Member Account.
The Club reserves the right to suspend or terminate a Member Account or participation if false information is provided or these Terms are breached.
5. Membership Fees, Payments & Refunds
5.1 Rolling Membership
Membership continues on a rolling basis, season to season, until cancelled in writing by the parent or guardian.
5.2 Payment of Fees
Fees for membership, training, registration, and associated costs must be paid by the dates set out during registration or invoice.
5.3 Late or Non-Payment
If payment is not received by the due date:

Reminder issued within 5 working days
-
Second reminder issued after 7 further days
-
Participation may be suspended until fees are settled
5.4 Refund & Cancellation Policy
Membership fees are not normally refundable once a season begins. Refunds may be considered only in exceptional circumstances such as relocation or long-term injury (six weeks or more).
Refunds, where granted, may exclude administration costs, league registration fees, and kit already issued.
No refund applies to:

Short-term absences
-
Weather-related cancellations
-
Events beyond the Club’s control
5.5 Voluntary Withdrawal
Members may cancel membership at any time by providing 30 days written notice. Fees remain payable during the notice period.
5.6 Termination by the Club
Membership may be suspended or terminated for breach of policy, safeguarding concerns, persistent non-payment, or misconduct.
The Club Secretary or Club Chair retains final authority on decisions relating to removal or suspension of membership.
No refund will be issued where removal is the result of disciplinary action.
6. Safeguarding & Welfare
Baltic Youth FC operates in line with The FA’s Safeguarding Children Policy.
All officials involved with children are DBS checked.
Any safeguarding concerns should be reported to the Club Welfare Officer or Club Secretary.
The Club is not responsible for children outside the designated training or match area, including before arrival and after collection.
7. Conduct, Behaviour & Code of Ethics
All Members, parents, guardians, and spectators are required to:

Demonstrate respect toward players, officials, spectators, and coaches

Comply with the FA Respect Programme

Refrain from abusive, threatening, aggressive, or discriminatory behaviour

Communicate respectfully with Club representatives

Follow matchday and training instructions for safety and welfare
-
Avoid public negative comments about players, managers, officials, or the Club
The Club may take disciplinary action if behaviour breaches these standards.
8. Consent, Photography & Data Processing
By registering with the Club, you consent to the Club:

Processing personal data for membership, league registration, safeguarding, communication, and administration

Storing medical and emergency information securely

Sharing necessary information with league bodies and the Hampshire FA for eligibility and compliance

Taking and storing photographs or video in line with FA media guidance (unless consent is withdrawn)
Parents may withdraw photography consent at any time by written notice.
All data is stored in accordance with GDPR and our Privacy Policy.
9. Intellectual Property
All logos, graphics, documents, and materials displayed on this website — including The Andover Talon branding and the Baltic Youth FC crest — are the property of the Club.
No reproduction or use is permitted without written approval.
10. Accuracy of Information
While efforts are made to ensure accuracy, information on this site is provided “as is” without warranty.
The Club is not liable for errors, updates, or external reliance.
11. External Links
Our website may include links to third-party sites.
The Club is not responsible for the content, security, or privacy of external sites.
12. Limitation of Liability
To the fullest extent permitted by law, the Club shall not be liable for indirect, consequential, or incidental damages arising from use of the website or participation in Club activities.
This does not exclude liability for death or personal injury due to negligence.
13. Changes to Terms
The Club reserves the right to modify these Terms & Conditions.
Continued use of the website or membership after changes constitutes acceptance.
